Frequently Asked Questions About
Apostille & Authentication in Canada

1. What is apostille?

If you are looking to take a Canadian document (i.e. university transcript) to a foreign country, they may ask you for an apostille to ensure the document is valid.

An apostille is an authentication of public documents utilized by countries that are signatories of the Hague Apostille Convention Abolishing the Requirement of Legalisation for Foreign Public Documents (Hague Apostille Convention).

As of January 11, 2024, Canada joined the Hague Apostille Convention, a multilateral treaty. The main purpose of which is to facilitate the circulation of public documents (e.g., birth certificates, corporate powers of attorney, diplomas etc.) issued by one country to be used in another country.

If you are travelling to a Hague signatory country, your authenticated documents in Canada will be issued apostilles which allows you to use it in that country. Your documents may not require further legalization at consulates or embassies. Please check with the relevant consulate, embassy/high commission, and end destination recipient for their document requirements. You can find a list of foreign missions here:
  • Foreign embassies and high commissions in Canada
  • Foreign consulates in Canada

2. Is authentication the same thing as apostille?

In practice, it is the same.

If you are travelling to a country that is NOT a signatory of the
Hague Apostille Convention, your authenticated documents will be issued a certificate of authentication.

After the certificate of authentication is issued, your document may need to be legalized by the authorities of the country of destination (e.g., by their embassy, high commission or consulate in or accredited to Canada). In short, the authorities of the country of destination decide they will recognize your authenticated Canadian document.

It is important to note that not all countries require the legalization of Canadian documents before they can be used in their territory so it is best you check with the relevant embassy/high commission or consulate. You can find a list of foreign missions here:
  • Foreign embassies and high commissions in Canada
  • Foreign consulates in Canada

4. Do I need to have my document notarized before it can be apostilled?

Find out if your document needs to be notarized before it can be authenticated. Check the specific requirements for your document with Global Affairs Canada and Official Document Services.
5. Do I need to come to your office to have my document apostilled or authenticated?

No, we are able to assist you to have your Canadian documents apostilled or authenticated even if you are unable to attend in-person at our offices, including if you are not located in Canada.

All we require to assist you with
apostilled or authenticated is that you mail to our offices the original of your document.

6. Should I apostille my document with Global Affairs Canada or Ontario's Official Document Services (ODS)?

Since January 11, 2024, the competent authorities of certain provinces are exclusively responsible for the authentication and issuance of apostilles for documents issued or notarized in their respective province. This includes Ontario where we are located, as well as Alberta, British Columbia, Quebec, and Saskatchewan.

Global Affairs Canada will continue to authenticate and issue apostilles for documents issued by the Government of Canada (i.e. federal agencies, RCMP, etc.) and for documents issued or notarized in specific provinces and territories. This includes: Manitoba, New Brunswick, Newfoundland and Labrador, the Northwest Territories, Nova Scotia, Nunavut, Prince Edward Island, and Yukon.

8. How can you assist with apostille or authentication
Whether you need assistance with notarization, apostille, or authentication, Neighbourhood Notary is here to assist. We provide professional, affordable, and comprehensive services to those in Canada or abroad looking to have their document apostilled or authenticated.

We can: (1) either meet you at one of our affiliated offices or have you mail your original documents to us; (2) help you notarize your original documents to us, if necessary; (3) take your document(s) to Global Affairs Canada or Ontario's Official Document Services to be apostilled or authenticated; and (4) mail the document(s) back to you.

9. What is the cost of apostille or authentication?

Our fee to assist with authenticating and legalizing your document(s) depends on the complexity of the job. Generally, the more documents that need to be apostilled/legalized, as well as when a consulate/embassy is involved, will add complexity and thus result in a higher fee.
